HR & payroll software
HR and payroll software that keeps people data and salary in one system
Employee records, departments, shifts, attendance, leave and salary live in Swastik Payroll together. When HR changes something about a person, payroll sees it the same day, without an export, an email or a second login.
Why one system
Payroll is only as accurate as the HR records behind it
When HR data sits in one tool and payroll in another, someone has to carry every change across by hand. These are the changes that most often get missed.
Leave approved after the cut-off
A manager approves sick leave on the 29th. In a split setup the payroll sheet still shows an absence. Here, approval marks the attendance as Leave straight away.
A shift change nobody passed on
An employee moves to the late shift from the 10th. Overtime is measured from the end of the assigned shift, so the effective date on the assignment decides the count.
New bank account, old salary file
Bank details are edited once on the profile. The monthly payment report reads them from there, so the account used for salary is always the current one.
What the HR side covers
Everything HR maintains, next to the salary it affects
Employee records
Profiles with joining and leaving dates, bank, UAN and ESIC details, plus Excel or CSV import.
Departments
Departments with sub-departments and positions, used to filter the monthly payment report.
Attendance
Biometric sync every minute, GPS mobile punch with a verification queue, and manual or bulk entry.
Leave
Casual, sick, earned, unpaid, maternity and paternity leave, half days, and monthly casual leave accrual.
Shifts and holidays
Shifts with scheduled breaks, assignments with effective dates, and a holiday list for the year.
Late-coming rules
Late marks beyond your rule deduct hours from the casual leave balance, with a late report for HR.
Employee self-service
Staff sign in from a phone or computer to check attendance, apply for leave and print salary slips.
Audit log
Changes are recorded with the user, the time and what was changed, across HR and payroll records.
Cause and effect
One HR change, every place it lands in payroll
This is what the shared record saves you: each action below is done once, by the person responsible for it.
| What HR or a manager does | What payroll picks up |
|---|---|
| Approves a leave request | Attendance for those days is marked Leave, which feeds paid days for the month. |
| Verifies a mobile punch | The punch applies to attendance only after approval, so unverified punches never reach salary. |
| Assigns a new shift from a date | Overtime from that date is counted past the new shift's end time. |
| Revises salary from a month | A new salary version applies from that month. Earlier months keep the salary they were paid on. |
| Marks duty on a weekly off or holiday | Present on weekly off and present on holiday are tracked as separate statuses for extra-day pay. |
| Enters a date of leaving | The employee's record shows when they left, for the final salary month and later reference. |
| Moves someone to another department | The payment report filtered by department or sub-department shows them in the new place. |
Roles and permissions
HR, managers and employees each see their own part
Keeping HR and payroll together raises a fair question: should the person who marks attendance also see salaries? In Swastik Payroll they don't have to.
- Super admin sets up the organisation, manages users and permissions, and can download a full compressed database backup.
- Staff such as HR executives, accountants and managers get only the rights you tick: for example attendance but not salary, or salary view without approval.
- Employees see only their own attendance, leave and salary slips.
Accounts are locked for 30 minutes after five failed sign-in attempts, and each user's sign-ins are recorded in an activity log.
| Example staff user | Rights granted |
|---|---|
| Site supervisor | Attendance view and manage |
| HR executive | Attendance, leave, departments and positions |
| Accountant | Salary view and manage, payroll and payment reports |
| Director | Salary approve, all reports |
| Store in-charge | Inventory view and manage |
Self-service
Fewer "what is my balance?" questions for HR
Employees sign in with their own login in a mobile browser. There is no app to install.
Check attendance
"My attendance" shows each day's status, so disputes are raised early in the month.
Apply for leave
Pick the leave type, full or half day, and dates. Staff approve or reject, and the balance updates.
Punch from the phone
Where you allow it for that employee, punch in with GPS location. HR verifies before it counts.
View salary slips
Open and print salary slips for past months without asking the accounts team for a copy.
FAQ
HR and payroll software questions
Do we have to use every HR module to run payroll?
No. Many teams start with employee records, attendance and salary, then switch on leave requests, mobile punch and employee logins later. Salary still calculates from whatever attendance records you keep.
Does it include recruitment or performance appraisal?
No. Swastik Payroll covers the HR records that drive pay: employees, departments, shifts, attendance and leave. Hiring, appraisals and expense claims are outside its scope.
Can a manager approve leave without seeing salaries?
Yes. Staff permissions are granted area by area, so a manager can handle attendance and leave while salary screens and payroll reports stay hidden from them.
Is there a mobile app for employees?
There is no native app. The system is web-based and responsive, so employees use it from the browser on their phone, including mobile punch where enabled.
Can we connect it to other software we use?
A REST API secured with JWT tokens covers employees, salary, attendance, inventory and reports. There are no ready-made accounting integrations, so any connection is built on that API.
