Payroll for retail
Payroll software for retail stores and showrooms
A store is open seven days a week, busiest on Sundays and festivals, and its salespeople earn incentives that change every month. Swastik Payroll keeps staggered weekly offs, Sunday duty, incentives, advances and late openings in the same salary run.
The problem
Retail payroll problems every store manager knows
Staggered weekly offs
The store never closes, so each person's weekly off falls on a different day. Sunday is a normal working day for most of the floor.
Duty on offs and festivals
In the wedding and festive season, staff are called in on their weekly off and on holidays. Paying for those extra days depends on someone remembering them.
Incentives that change monthly
Sales incentives come from a separate sales sheet, different for each salesperson and each scheme, and have to land on the right payslip.
Late openings
If staff walk in after the shutters go up, customers wait. A late rule has to be applied the same way to everyone or it causes arguments.
Frequent advances
Small advances between paydays are common in retail. Tracking what is still to be recovered from whom quickly gets messy.
Counters and sections
Owners want salary and incentive cost by counter or floor (billing, apparel, footwear, stockroom) to compare against sales.
How Swastik Payroll handles it
The store's month, reflected in salary
- Weekly off duty is tracked. A day worked on a weekly off is marked present on weekly off; on a holiday, present on holiday. Full days are counted as Sunday duty and paid at the per-day rate.
- Holiday list for the year, so festival closures and duty are recorded against the right dates.
- Incentive groups. Create a group for the month or scheme, such as "Festive sale", and record each salesperson's amount. It flows into that month's salary and payslip.
- Late-coming rules. Late marks beyond your rule deduct leave hours from casual leave, and a late report shows who was late and how often.
- Salary advances with one-time or EMI recovery, skip-a-month and an advance monthly report.
- Departments and sub-departments for counters or floors, used to filter the payment report.
- Mobile punch for staff sent to an exhibition stall or another outlet, with GPS location and manager approval.
Example
A sample festive month for one salesperson
This is an illustration with sample figures. Neha is on a monthly base salary of ₹15,000, with her weekly off on Tuesday. During the festive sale she:
- worked 2 of her weekly offs: 2 × ₹500 (₹15,000 ÷ 30) = ₹1,000 added
- was absent 1 day: ₹500 deducted
- earned ₹2,350 from the "Festive sale" incentive group
- had PF at 12% of earned base ₹14,500 = ₹1,740
- had ESIC at 0.75% of ₹17,850 = ₹133.88, rounded up to ₹134
- repaid ₹1,500 of an advance taken before the season
She was also late 4 times beyond the rule. That reduces her casual leave balance by the hours set in the rule, not her salary.
| Sample salary line | ₹ |
|---|---|
| Monthly base salary | 15,000 |
| Less absent deduction (1 day) | −500 |
| Weekly off duty (2 days) | 1,000 |
| Sales incentive | 2,350 |
| Wages for the month | 17,850 |
| Employee PF | −1,740 |
| Employee ESIC | −134 |
| Advance recovery | −1,500 |
| Net salary | 14,476 |
Compliance note
Shops and establishments rules, PF and ESIC
State rules on hours and offs
Opening hours, weekly holidays, pay for work on a weekly off and overtime for shops are set by each state's shops and establishments law, which differ. The labour codes in force since 21 November 2025 add to this while rules are still being notified. Check your state's current position.
ESIC for most floor staff
Shops are commonly notified under ESIC at 10 or more employees (20 in some states). Salespeople with gross wages up to ₹21,000 are covered. A good incentive month can push someone over, but coverage continues until the contribution period ends.
PF at 20 employees
EPF is mandatory at 20 employees. Swastik Payroll produces the ECR file and ESIC contribution CSV; filing and payment happen on the portals by the 15th of the next month.
FAQ
Retail payroll questions
Can different staff have different weekly offs?
Yes. Attendance is recorded per person per day, so each salesperson's weekly off is marked on their own register, and duty on that day is recorded as present on weekly off.
Does the incentive show separately on the payslip?
Yes. The incentive appears as its own line in the monthly salary record and on the PDF salary slip, apart from base salary and bonus.
What if a store manager gives an advance on a Saturday night?
Record the advance with its recovery plan the next working day. It is deducted from the coming salary automatically, and you can skip a month or change the amount if the employee asks.
Some staff want salary in cash. Is that a problem?
No. Each employee's payment method is stored as cash or bank. The monthly payment report separates the two, and you can mark each salary paid, partially paid or held.
Can we run several outlets?
Outlets of the same business can be set up as departments or sub-departments, each with its own staff and reports. Separate companies with their own registrations would need separate set-ups.
