PF management

PF management software that prepares your EPF return every month

Swastik Payroll works out EPF, EPS and EDLI wages and contributions from each employee's salary and produces an ECR v2.0 text file for the EPFO Unified Portal. The monthly PF return stops being a spreadsheet exercise.

What it handles

The PF work that usually happens in a side spreadsheet

EPF wages from the salary run

PF is worked out from the same monthly salary record that produces the payslip, so the return and the payslip always agree.

EPS, EPF and EDLI split

EPS and EDLI wages are capped at ₹15,000. The employer's 8.33% pension share and the balance to EPF are shown per employee.

NCP days from attendance

Absent days in the month are counted from the attendance register and filled in as non-contributory days.

ECR v2.0 text file

Download the month's Electronic Challan cum Return as an ECR v2.0 text file for upload on the EPFO Unified Portal.

UAN on every profile

Employee PF numbers are stored on the employee profile and written into the file, so nothing is typed at filing time.

PF on the payslip

The employee PF deduction appears on the PDF salary slip and in payroll reports alongside ESI and other deductions.

Monthly workflow

From locked salary to uploaded ECR

  1. Keep UANs current

Add each member's UAN to the employee profile when they join. The statutory report reminds you before download.

  2. Run and lock the salary

Calculate the month from attendance, review adjustments and lock it, so PF figures cannot change afterwards.

  3. Review the statutory report

Check EPF, EPS and EDLI wages, contributions and NCP days for every employee on one screen.

  4. Download and upload

Download the ECR text file, upload it on the EPFO Unified Portal and pay the challan by the 15th.

Inside the file

What each ECR line contains

One line per member, with the eleven fields in the order the EPFO portal expects.

Swastik Payroll prepares the ECR file. Uploading it, generating the challan and paying it happen on the EPFO Unified Portal with your establishment login.

FAQ

PF management questions

Which wages does Swastik Payroll use for PF?

PF is taken from the PF component on the employee's salary. Where no PF component is configured, the monthly base salary is used as EPF wages. EPS and EDLI wages are capped at ₹15,000.

Does it file the PF return for me?

No. It produces the ECR text file and the figures behind it. You upload the file, generate the challan and pay it on the EPFO Unified Portal.

What happens if an employee's UAN is missing?

The statutory report reminds you to fill UANs before downloading. A line without a UAN will be rejected by the portal, so add it to the employee profile and download the file again.

Is ESIC handled the same way?

Yes. The same statutory report covers ESIC for employees earning up to ₹21,000 and exports a contribution sheet. See ESI management.
